Salary Range: $24.89 – $32.36 hourly DOE
Closing Date:  July 15, 2022 or open until filled

Position Summary: Contributes to the efficient daily operation of the Natural Resources Department by performing a variety of administrative duties. This position is the hub of the department, coordinating between the Director, program and project leads, and staff. The Program Coordinator also serves as the primary liaison with other departments in the Tribe as well as all communications directed to the department.  Maintains professionalism in all interactions with internal and external customers. Honors and represents the mission, vision, values of CIT and of the Natural Resources programs.

Essential Duties & Responsibilities:

Develops presentations, materials, communications, and other outreach materials for the promotion of programs to tribal and local communities.
Prepares correspondence, reports, minutes, agendas, memos, forms, and other documents and communications.
Edits and reviews all correspondence and documents for correct grammar, punctuation, and spelling.
Conducts research to resolve operational questions or issues; coordinates office space as needed.
Establishes and maintains an effective filing and retrieval system of contracts, records, communication and other natural resources information; maintains personnel files.
Schedules department meetings, events and activities; manages departmental or manager’s calendar; makes arrangements for staff training.
Attends meetings and takes notes and minutes as requested documenting action items and decisions.
Arranges travel, prepares and submits travel-related documents; maintains travel information as necessary.
Monitors and tracks departmental budgets; prepares quarterly budget reports and P & L reports.
Prepares purchase orders, payment reimbursements and other pertinent paperwork for processing payments; maintains financial records; audits expenditures to ensure compliance with policies, procedures, grant and contract regulations or other requirements.
Prepares accurate and timely reports for all grants, contracts and programs.
Tracks, completes and submits timesheets for review and approval by Director; facilitates the employee evaluation process.
Prepares monthly statements and sends invoices for rent payments; processes rental payments.
Assists with the submission of contracts to legal, accounting and insurance carrier; obtains required signatures; notarizes documents as needed.
Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department, ensuring professional telephone etiquette.
Screens correspondence; exercises judgment and responds accordingly; receives, sorts, logs, and routes mail.
Greets internal and external customers and visitors; determines nature of business and announces to appropriate personnel maintaining professional and courteous demeanor.
Informs departmental staff of Council and various committee meetings; works with other staff members on the scheduling of events and activities.
Maintains and operates office machines, equipment, and computers. Performs or coordinates general maintenance and repair.
Photocopies, collates, distributes, and files documents.
Represents the department at outreach events; participates in committees as requested.
Maintains inventory of office supplies and picks up supplies from vendors.
Contributes to a team effort and accomplishes related results as required.
Performs other duties as assigned.

Knowledge, Skills, and Abilities:

Knowledge of traditional form of government and tribal customs and traditions.
Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
Skill in operating various word-processing, spreadsheets and database software programs.
Skill in treating internal and external customers with tact, courtesy, and respect.
Ability to maintain confidentiality.
Ability to interact and maintain good working relationships with individuals of varying social and cultural backgrounds.
Ability to carry out instructions furnished in verbal or written format.
Ability to communicate efficiently and effectively both verbally and in writing.
Ability to handle multiple tasks and meet deadlines.
Ability to work independently with minimal supervision.
Ability to successfully use office applications similar to:  Microsoft Office suite, Abila MIP, Microix and Adobe Acrobat.

Minimum Qualifications:

High School Diploma/GED.  AA preferred.
Four years related administrative experience.
Valid driver’s license is required when driving vehicles for work-related purposes.
Notary Public License or ability to obtain.
Must be able to successfully pass a background screening / investigation according to the established requirements below.
Tribal preference in accordance with Cowlitz Indian Tribe Code and CIT Employee Policies and Procedures Handbook shall apply to all positions. All positions are required to adhere to CIT’s established safety policies regarding vaccine requirements and personal protective equipment (PPE).

Background Investigation Requirements:

Pre-employment drug screen.
Reference checks, education and employment verification.
Federal, state, and/or tribal criminal history and sanction checks including fingerprint verification

This position has no supervisory responsibilities.
