Introduction

The world’s largest fossil fuel producers are already on track to produce more than twice the amount of coal, oil and gas than can ever be burned if we are to hit our climate targets. The Fossil Fuel Non-Proliferation Treaty Initiative champions a new international mechanism to complement the Paris Agreement, one that would hold governments accountable for their fossil fuel production plans in an effort to advance a just transition.

The Position

The Fossil Fuel Non-Proliferation Treaty Initiative is seeking an Finance and Operations Specialist  who is passionate about social and environmental justice. This is a position that requires a proactive, organized, and adaptable individual who has the skills and qualifications to support a dynamic global team.

As the Finance and Operations Specialist , will work closely with Operations Director to implement and administer the day-to-day finances and operations. As the Finance and Operations Specialist , you will play a pivotal role in the success of our small and growing global initiative. You will support all operational aspects of our organization’s activities- from financial and operational systems, processes, administration, accounts payables, procurement & contracting, and partnership grants. You will play a key role in supporting day-to-day operations and ensuring the efficient, effective, economic and equitable functioning of the initiative.

You will be a key interface between our team, our partners, and our fiscal-sponsor the Earth Island Institute as well as our payroll service providers.

This position is full-time, exempt, and salaried. Salary is calculated based on location and experience of the successful candidate in the range of 60,000-80,000 USD. Starting salaries are usually in the lower half of the band.

Key Responsibilities

  • Manage financial and operational activities, including accounts payable end-to-end process, per diems, expenses reimbursement to staff and partners, grants disbursements, honorary payments, accounts receivable, payroll, and bookkeeping function including maintenance of the general ledger, and processes, procedures and controls.
  • Ensure that expenditures are controlled, classified according to the chart of accounts, compliant with all regulators’ requirements, appropriately authorised, and in accordance with annual approved budgets.
  • Monitor Bill & spend/Divvy accounts and transactions, make payments to vendors and purchases using company credit card and ensure that all credit card holder transactions are supported with invoices and completed by the end-of-month
  • Load funds onto individual divvy accounts as and when requested.
  • Act as primary liaison with all consultants, vendors, and subcontractors on contracting and invoicing matters.
  • Coordinate with Earth Island Institute on administrative tasks, such as contracts, subgrants, payments, domestic HR, insurance, and legal compliance.
  • Support syncing and integration of grant management with partnership team.
  • Contribute to smooth day-to-day operations, addressing any operational challenges that may arise.
  • Assist the Operation director with month-to-month management accounts and review processes.
  • Support budget holders to prepare departmental budgets and support and train budget holders as required on tracking and monitoring budgets.
  • Monthly reconciliation on spending and fund balances..
  • Assist with recruitment, onboarding, and professional development.
  • Contribute to FFNPT’s business and IT systems and support the financial aspects of all systems.
  • Monitor FFNPT’s policy register and ensure periodic review of FFNPT policies.
  • Manage travel and accommodation arrangements and booking for the global team
  • Contribute and assist with preparation of financial reporting to donors and ensure that they are accurate and timely…
  • Assistance to the Ops Director and the Executive Team with special projects as required from time-to-time.

The Ideal Candidate

To be successful in this role you will be a motivated and passionate team player who is comfortable with working in a global team that spans many cultures and experiences, and necessitates some unconventional working hours to accommodate timezones.

Experience and attributes:

Required:

  • Proven experience (5+ years) in operations, preferably in a nonprofit or policy advocacy context
  • Tertiary qualifications in accounting, commerce, finance and/or related discipline
  • Experience with accounts payables processes
  • Experience in budgeting and reporting
  • Excellent organizational and project management skills, with keen attention to detail
  • Strong interpersonal and communication skills
  • Commitment to, and competency, connecting with peoples and working across cultures and difference, with a strong decolonial perspective
  • Detailed oriented, systems thinker with a passion for spreadsheets, organizational systems, and data integrity
  • Excellent computer skills with proficiency in Google Suite
  • Ability to learn quickly, take initiative, prioritise, and work well under pressure
  • Fluency in English required, other languages an asset

Desired:

  • Prior experience in a global or multinational organization
  • Experience in travel bookings and management
  • Experience working with a fiscal sponsor
  • Familiarity with grant management and fundraising principles in a nonprofit setting
  • Experience working in the Global South
  • Experience in the following systems: Nifty, Sage Intacct, Bill & Spend, Excel, database or CRM management experience
