Overview

The General Affairs Staff is responsible for:
IT Help Desk (70%):
• Manage attendance system.
+ Register fingerprints for new employees.
+ Delete fingerprints for resigned employees.
+ Weekly export and record all employees’ fingerprint data.
• Prepare tools for new employees.
+ Set up PC, Monitor, and Mobile devices.
+ Install the company’s software and operating systems.
• Assist in the employee resignation process.
+ Reset all PC and Mobile device data.
+ Storage PC, Monitor, and Mobile devices.
+ Check another handed-over asset (locker/cabinet key, headphones, etc.).
• Maintaining the office by ensuring office working systems are all operating properly (PCs, printers, internet connection, telephone, etc.) and dealing with issues as they arise in a timely manner.
• Perform tasks assigned by Leader.

GA (30%):
• Data Management
+ Maintaining and updating organizational databases and contact lists.
+ Assist in purchasing procedure (Collect proposal to buy equipment for the office, acquire price quotes and information of suppliers, prepare purchase contracts, appendix, contract renewal …), follow up signing process and payment.
• Company’s asset management
+ Monthly check office furniture (table, chair, cabinet, locker, etc.) for repair in case of damages.
+ Assist in recording the company’s assets and updating them regularly.
+ Monthly check company’s assets (PC, monitor, and other equipment, etc.).
+ Manage all office keys.
• Interfacing with internal employees regarding general affairs and administrative support functions.
• Any other relevant responsibilities, as requested by Leader.
